Meeting Called to Order at 7:35pm

 

Secretary position

John N. explained the requirements for this open Committee position (chiefly take minutes for monthly committee meetings).  Roger H. suggested rotating responsibility for monthly minutes.  This was discussed briefly and Accepted

Treasurer’s Report

Eric V. distributed an Income Statement and Balance Sheet and explained, in general terms, the Troop’s finances. The Troop’s fiscal year runs September to August. Most recent year (2001-2002) was in deficit by about $2000.00. Budget needs more attention as our annual expenses have gone up steadily.  Alan talked about important of troop-sponsored JLTC. There were three key contributors mentioned to last year’s deficit: 1) Wreath sale loss; 2) JLTC (not done in previous 2 or 3 years); Large number of Eagles.

 

Bill A suggested budget committee (Scoutmaster, Committee Chair, Outdoor Chair, Treasurer, others) meet before December to form preliminary 2003 budget.  Moved and approved.

John suggested activity leaders provide estimated outing expenses by next meeting, to be funnelled through Outdoor Chair (Emma)

 

Proposal to allow reimbursement of summer camp expenses of scouts from Campership fund. Moved and approved .

 

Pancake Breakfast date and coordinator – Saturday Feb 15th

John N. explained the key role of overall coordinator for Pancake Breakfast.  Previous Coordinators were in descending order: Denise T, Bill A, Carol P.  A binder with past years information is available.  Keith D. volunteered and is looking for some co-Chairs.  Ray S. indicated an interest in Publicity.  Bill A. pointed out that historically this is the only fundraising activity during the year for which 100% Scout AND parent participation is required.

 

Scout for Food Coordinator – Saturday Nov. 9th and 16th

Volunteer coordinators (Bill A, David R) will work with boy leader for event.  Status report at next meeting.

 

Wreath Sales Coordinator – November/December

Considerable discussion about pros and cons and history of previous years wreath sales experience.  Bill A. shared some bad feeling from Trinity about quality of wreaths last year and reminded group that Menlo Pres. was no longer available (represented significant percentage of sales two years ago).  Janice Selvy will coordinate and investigate and report back to John before next meeting.

 

Medical forms Coordinator

John N. described the responsibilities for this open position (currently held by Bill A.): keep the original (“Red Book”) and copies (“Purple binder”) of the troop medical forms.  Update as needed and provide Advancement Chair with update information for TroopMaster.  Provide traveling copy (“Purple Binder”) for outing coordinators.  No volunteers at this time.

 

Summer Camp options

Camp Hi-Sierra for mid-July baring negative personal recommendation.(see under Scoutmaster’s Minute)

 

Ski weekend – January 31st

Alan Z described the weekend program (as outlined in his recent email) and passed out hard copies as needed.  We’re returning to the nordic Chalet we’ve used previously and there is a bus to and from Sugar Bown on Saturday and Sunday, though on Sunday drivers may want to drive up themselves to make their afternoon departure easier.

$70 deposit for Chalet needed 10/31

 

Recruiting

Emma S.  asked for help in phoning packs for contact information and in making follow-up during the fall.  Several indicated they would help.

 

Death Valley camping costs

John N. explained that $150 was needed for camping reservations for Furnace Creek. Moved and passed.

Scoutmaster’s Minute

Mt Man Rendezvous – 9 Scouts signed up for Friday night (Roger H will lead), 7+  for Saturday morning (Pam F in charge); Ed D. in Charge this weekend along with Peter V. Friday night)

Summer Camp 2003- Emerald Bay is first choice but not available (206 is way down on the waiting list.  PLC identified a number of alternatives but could not decide.  SM asking Committee to decide and make arrangements. 

Decision: select SCCC’s Camp HiSierra (near Pinecrest) for second week in July unless known problems.  Bill A to make inquires and get back to Julie by Tuesday evening.  Doug and Julie are exploring Oregon camp in 2004.

USS Hornet – Friday the 13th of December (date change).  Webelos invited but will have to share costs
